Run every client from one login with sub-accounts

Quick answer

Agent Studio gives every client its own sub-account: a full CRM with separate contacts, pipelines, calendars, payments, automations and team. You create one from Agency → Sub-accounts in about a minute, choose the email, payments and texting connections it sends through, and open it from your own login whenever the client needs you.

What you'll have

  • A separate CRM for each client, opened from one login with the account switcher.
  • Each client sending email, payments and texts through the connections you pick.
  • New clients set up by a workflow the moment you create their sub-account.
  • A clean way to pause, archive, export and remove a client when the work ends.

What is a sub-account in Agent Studio?#

A sub-account is a complete CRM that belongs to one client location and is run by your agency. It has its own contacts, pipelines, calendars, payments, automations and team, so nothing from one client ever shows up in another client's lists.

GoHighLevel calls these sub-accounts too (older docs say locations). Vendasta calls a client business an account. Same idea here: one client, one workspace, and your agency sits above all of them.

What lives in each sub-account and what your agency controls
Lives inside the sub-accountYour agency controls

Pipelines and opportunitiesWhich connections it sends through

How do I add a sub-account for a new client?#

Press Add sub-account on Agency → Sub-accounts, fill in the location details, and pick its connections. The account is live as soon as you save.

Set up a client sub-account

0 of 5 done

  1. Step 1: Open the Add sub-account form

Go to Agency → Sub-accounts and press Add sub-account. If the client is already in your agency list, pick it under Linked client and the name and website fill in for you.
    Add sub-account
  2. Step 2: Enter the location details

Add the Location name, website, phone, street address and time zone. The time zone drives every booking, reminder and report in that account.
  3. Step 3: Choose the connections it uses

Under Connections this location uses, set Email (Resend), Payments (Stripe) and Text messages (Twilio) to Your default, a specific connection, or None. Share texting numbers, review sites and social accounts with the location in the same form.
    Open CRM settings
  4. Step 4: Load your best setup

Push a snapshot into the new account so it starts with your pipelines, forms, calendars, sites and workflows instead of a blank screen.
    Open Snapshots
  5. Step 5: Invite the client's team

Press Open on the sub-account card, then invite the client's people from Settings → Team with the areas each person needs.
    Open Team

How do I switch between client accounts?#

Use the account switcher at the top of the CRM, or press Open on any active or paused sub-account card. Your agency opens them as their owner, and Reactivate on the card brings a paused or archived client back in one press.

  • Your staff see the sub-accounts you granted them under Your agency's sub-accounts in the switcher. Set that up in team roles.
  • Agency pages such as Sub-accounts, White label, Plans and the roll-up report live in your own account. Opening one from inside a client takes you one step back to your agency.
  • A client Admin opens Automations → View workflows to see, step by step, the workflows their account runs from your builder.

Can I automate client onboarding?#

Yes. Creating, pausing and setting up sub-accounts are workflow steps, so onboarding runs itself the way you design it.

Workflow pieces for sub-accounts
PieceWhat it does
Sub-account created triggerStarts a workflow the moment a new client account exists
Sub-account paused, archived or reactivated triggerReacts to status changes, for example a win-back task
Manage Sub-account stepCreates an account, sets its status, changes its plan or loads a snapshot
Load Snapshot into Sub-account stepPushes your setup into the new account
Invite Team Member stepEmails the client's first user an invite with the areas you choose
Onboard a new sub-account starterOne click adds a kick-off task workflow to your builder from Plans

What happens when I pause, archive or delete a client?#

Each status does one clear thing, and you can reactivate a paused or archived account from its card.

Sub-account statuses
StatusWhat happens
ActiveEverything runs: pages, bookings, payments and automations
PausedAutomations hold and public pages show "This page is temporarily unavailable" until you press Reactivate
ArchivedSame hold as paused, and the card moves out of your working list
DeletedYou download the full export, type the account name, and the account and its records are purged

Delete appears on archived cards. The export is every record in one JSON file, with credentials removed, and it must be from the last 24 hours. Take a client off its plan before deleting so billing ends cleanly.

Load a ready setup into each new sub-account with snapshots, and control who opens it in team roles.

Questions buyers ask#

Is a sub-account the same as a GoHighLevel sub-account?

Yes, in purpose. Each one is a full CRM for one client location, run from your agency login, with its own contacts, pipelines, calendars, payments, automations and team. Snapshots, plans and staff access work across them the way agencies expect.

Do my clients see my brand or Suede AI's?

Your brand. On the White label tab you set your agency name, logo and accent color, and every client sees them across their CRM. Want clients signing in at your own address, such as app.youragency.com? Add it on the same tab and our team connects it for your workspace.

Can my client log in and use their own sub-account?

Yes. Invite the client's people from Settings → Team inside their sub-account. Give them Admin, pick the areas they open, or apply a custom role, and limit reps to the records assigned to them.

Where do a client's workflows live?

In your agency's builder, so you keep one place to edit and improve them. The client's automations run those workflows, and a client Admin sees a step-by-step view under Automations → View workflows.

Can I take a client's data with me if they leave?

Yes. Every sub-account has a full export: one JSON file with every record in the account. You download it before any deletion, and it is yours to hand over or keep.
