Give every teammate the right access with roles

Quick answer

Agent Studio lets you invite teammates by email and give each one the access their job needs: Admin for everything, or a User who opens only the areas you tick, with view-only and assigned-only limits. Custom roles apply a whole job in one click, and agency staff open every client sub-account or the ones you choose.

What you'll have

  • Your team invited with exactly the areas each person needs.
  • Custom roles such as Sales rep or Bookkeeper ready to apply in one click.
  • Reps limited to their own contacts, deals and conversations.
  • Agency staff working inside client sub-accounts without a separate login.

Which roles does Agent Studio have?#

Every account has an Owner, Admins who run everything, and Users who open the areas you choose. Custom roles and agency staff access sit on top of those.

Roles at a glance
RoleWhat they openWho sets it
OwnerEvery area and every record, plus the team. An agency is Owner of its own sub-accounts.The account itself
AdminEvery area and every record, plus the teamOwner or an Admin
UserOnly the areas ticked for them, optionally view only or assigned onlyOwner, an Admin, or a User with Team
Custom roleThe areas the role defines, kept in sync for everyone on itOwner or an Admin
Agency staffClient sub-accounts you grant, with the role you choose thereThe agency owner

How do I invite a teammate?#

Send an invite from Settings → Team. The teammate gets an email with a link that works for 7 days, and the moment they accept they land in the account with the access you set.

Invite and set access

0 of 4 done

  1. Step 1: Open Team

Go to CRM settings → Team. Members, open invites and roles all live on this page.
    Open Team
  2. Step 2: Fill in Invite a teammate

Enter their email and name, then choose Admin, a User with the areas they open, or a Custom role.
  3. Step 3: Set the limits

In the permission matrix, mark areas View only where they read but never change, and Only assigned to them where they work their own records.
  4. Step 4: Send the invite

Press Send invite. The invite waits under Open invites with Send again and Revoke, and the link shows on screen too, so you can share it directly.

Which areas can I turn on or off for each person?#

Sixteen areas, each switched on or off per person: Contacts and tasks, Conversations, Opportunities and pipelines, Calendars, Payments, Marketing, Sites, funnels and forms, Automations, Documents, Reputation, Social planner, Memberships and courses, Affiliate manager, Dashboard and reporting, Settings, and Team.

Available on Contacts, Opportunities, Conversations, Reputation, Social planner and Sites. A rep limited to their own contacts also sees only the appointments, invoices, documents, campaign recipients and dashboard numbers about those contacts.

Records a limited rep creates are assigned to them automatically, and every campaign they send reaches their own contacts and nobody else's.

How do I create custom roles?#

Press New role under Roles on the Team page, name it, describe it, and tick the areas it opens. Create one for each job on your team, up to 50 per account.

  • Edit a role and everyone on it picks up the change on their next click.
  • Invites can carry a role, and the invite email names it.
  • A role someone holds stays protected from deletion until you move its members to another role.

How do I give agency staff access to client sub-accounts?#

In your agency's own account, open a teammate's Edit access and set Sub-account access. They work inside client accounts with one login and no separate invite per client.

Sub-account access choices
ChoiceWhat the staff member opens
Only this accountYour agency account and nothing else
Every sub-account, including new onesEvery client, plus each client you add later
The sub-accounts I chooseThe client accounts you tick

Pick the role and Areas they open in each sub-account in the same dialog. Staff appear in each client's assignee picker as "Agency staff" with their role, and suspending them in your agency ends their client access on their next request.

Can workflows manage my team?#

Yes. The Invite Team Member step sends an invite with a role and areas, into your account or a sub-account you own. Triggers fire when a team member joins, is removed or leaves, changes role, or is suspended, so onboarding checklists and access reviews run on their own.

Roles reach into every client sub-account. See how account data is protected in security and privacy.

Questions buyers ask#

How do Agent Studio roles compare with GoHighLevel user permissions?

GoHighLevel splits agency users from account users. Agent Studio does the same with Admins and Users in each account, plus agency staff access that covers every client or the ones you choose. Custom roles, view-only areas and assigned-only limits are built in.

Can I limit sales reps to their own leads?

Yes. Tick Only assigned to them for Contacts, Opportunities and Conversations. The rep then sees their own contacts, deals and threads, plus the appointments, invoices and documents about those contacts, and their dashboard counts their work alone.

Can a teammate give themselves more access?

No. Nobody changes their own access. A User with Team hands out only areas they hold, a manager limited to assigned records grants the same limit at most, and only Owners and Admins create Admins or define roles.

Do I see who did what?

Yes. Every event records the person who made the change, and the contact timeline shows "by" with their name on notes, messages and updates.

What does a teammate see when they open an area they lack?

They land on Choose an area, which lists the areas their role opens in that account and the switcher to work elsewhere. Members who joined an account also find Leave this account there.
