Share bookings across your team with round robin calendars

Quick answer

Agent Studio round robin calendars give every booking to the free team member with the fewest upcoming appointments, then the one booked longest ago. Create a calendar in CRM → Calendars, set the type to Round robin (team), add your team, and share the booking page. For meetings everyone attends, use Collective (whole team).

What you'll have

  • One booking link that fills every rep's calendar fairly
  • No double bookings, because each member's other appointments block their time
  • Collective calendars for meetings the whole team attends

How does round robin booking decide who gets the appointment?#

Each booking goes to the team member who is free at that time and has the fewest upcoming appointments; when two are tied, the one booked longest ago wins. Busy reps stop getting stacked, new hires get their share from day one, and the customer sees one clean booking page.

How do I set up a round robin calendar?#

Create a team calendar

0 of 5 done

  1. Step 1: Create the calendar

Open CRM → Calendars, create a calendar, and set Type to Round robin (team) or Collective (whole team).
    Open Calendars
  2. Step 2: Add your team

In the Team section, use Add from your team to pick teammates, or press Add team member and type a name and email. The email ties each person to their bookings across every calendar.
  3. Step 3: Set length and spacing

Set Length (minutes), Start times every (minutes), Buffer before and Buffer after so reps get breathing room between calls.
  4. Step 4: Set notice and range

Use Minimum notice (hours) to stop last-minute surprises and Book up to (days ahead) to keep the calendar near-term.
  5. Step 5: Share and automate

Share the calendar's booking page link, then add a workflow on the Appointment booked trigger to confirm by text.
    Open Automations

How does Agent Studio stop double bookings across calendars?#

A member's appointments on any other calendar in the account block that time on the team calendar too. If Jordan is on a one-on-one demo at 2pm, the round robin skips Jordan at 2pm and offers the slot to whoever else is free.

How do agencies roll team calendars out to every client?#

Build the calendar once in a snapshot with numbered seats such as Team member 1 and Team member 2. When the snapshot loads into a new client account, the Assign Calendar Team workflow step puts the client's real staff on those seats, by email or from the account's own team, in order.

Questions buyers ask#

Can a customer pick a specific team member on a round robin calendar?

The round robin picks for them, which keeps the load even. When customers should choose their person, give each member a One-on-one calendar and link them from one page.

What happens when nobody on the team is free?

That time does not appear on the booking page. Customers see only slots at least one member can take on a round robin, or everyone can take on a collective calendar.

Does round robin balance by count or by rotation?

Both, in that order. Agent Studio first picks the free member with the fewest upcoming appointments, and breaks ties by who was booked longest ago.

Can workflows book onto a round robin calendar?

Yes. The Appointment workflow step books a contact onto any calendar at an open time, makes a prefilled booking link, or checks whether a contact booked so follow-ups reach only the ones who did not.
